Facilities Coordinator

Part time or full time (30 or 37.5 hours per week)

Salary: £30,000 per annum (full time)

 

The facilities coordinator is to provide administration and control of Facilities and Equipment Engineering services, particularly with respect to compliance documentation, contract control, and scheduling of maintenance.

Responsibilities:

  • To develop and maintain robust records, information and administration systems to support:
  • Statutory Health, Safety and Environment compliance.
  • Contract renewals and tendering and procurement for and.
  • Document control of Facilities and Equipment Health and Safety.
  • To compile the yearly budget for Facilities and Equipment Engineering for review and approval and monitor expenditure against this.
  • To compile a monthly activity report describing the activities of the Facilities and Equipment team including both routine and one-off tasks such as equipment repairs.
  • To monitor stocks for Facilities and Equipment Engineering, including cleaner’s materials, kitchen and stationery stock, order replacements and transfer to storage locations.
  • To support the Facilities and Equipment Engineers, as required, through carrying out simple maintenance tasks and hosting contractors.
  • To ensure that they understand and abide by the health, safety and environmental policies and procedures.
  • To ensure that the highest standards of compliance are maintained and supported within the scope of responsibility.

Essential Skills:

  • Strong educational background, ideally to degree level.
  • Work experience in an administrative support position gained within a premises, Health & Safety and/or Facilities role.
  • Experience in management of compliance documentation and contracts in facilities and engineering.
  • Strong IT skills, in particular MS Word, MS Excel and use of databases.
  • Experience with Computer Aided Design (CAD) software to aid in producing office or building plans (desirable).
